Blocks & Pages
- Creating blocks โ type / to open the slash menu, then type the block name. That's it. That's how everything gets created.
- Moving blocks โ click the โฎโฎ handle on the left of any block and drag it wherever you want.
- Toggle block โ use this for FAQ sections or anything you want readers to expand only when they need it. Keeps pages tidy.
- Callout block โ a highlighted note on your page. Good for important information you don't want people to miss.
- Table block โ a simple inline grid with rows and columns. NOT a database. Use this for a team roster or any simple structured content editable right on the page.
- To-do block โ type /to-do for a checklist. Not /task list, not /checks. /to-do.
- Embed block โ type /video to embed a YouTube link directly on the page. Viewers watch without leaving Notion.
- Subpage โ create a new page using / while inside an existing page and it becomes a subpage. Navigate back using the breadcrumb at the top.
- Offline mode โ go to page settings and turn on Available offline. Saves locally and auto-updates when you're back online.
- Private section โ pages only you can see. Best place to start new pages before you're ready to share them.

Wiki & Knowledge
- Convert to Wiki โ turns a page into a knowledge base where every subpage gets Owner and Verification properties automatically.
- Page Owner โ assigns accountability. Someone is responsible for keeping this page accurate.
- Verification โ marks a page as current and trusted. Set a review cadence so it doesn't go stale. Verified pages get prioritized when Notion AI cites sources.
- Notion AI + verified pages โ when you ask Notion AI a question, it prioritizes verified pages in its answer. Mark important pages as verified so AI pulls from the right source.

Databases
- Full page vs inline โ full page database IS the whole page. Inline database sits inside a page next to other content.
- Table block vs database โ they look similar, they are not the same. Table block = simple grid. Database = every row opens into its own page with properties.
- Calendar view โ best for visualizing deadlines. You can drag entries to change dates directly in the view.
- Filter โ apply a filter (like Status = Published) and save it as a new view. Now you have a dedicated view that only shows what you need.
- Sort โ order entries by a property. Different from filtering โ sort reorganizes, filter hides.
- Database template โ create a template inside a database so every new entry starts with the same structure. Set it up once, use it forever.

Sharing & Collaboration
- Sharing vs Publishing โ sharing = invite a specific person with a Notion account, you control permissions. Publishing = public URL, no Notion account needed. You can do both on the same page.
- Teamspace โ drag a page from your sidebar into a teamspace and the whole team sees it with default permissions. Fastest way to share with everyone at once.
- Comments โ highlight any text and leave a comment. Creates a thread teammates can reply to. Good for feedback without editing the actual content.
- Mentions โ type @ to mention a person (notifies them), a page (creates a link), or a date (dynamically updates).
- Reminders โ attach to any date using @ and Notion sends a notification. Don't want pings? Don't add the reminder.
- Notion AI โ press spacebar on any page. It knows what's on your page already. Use it to write, summarize, brainstorm. Verified pages get prioritized in AI search results.
